We are seeking a highly organized and proactive Administrative Assistant to support our team with a variety of administrative and clerical tasks. This role will work closely with senior administrative staff and offers an excellent opportunity for professional growth and learning, particularly for those interested in progressing toward executive-level support in the future. The ideal candidate will have a keen eye for detail, strong organizational skills, and the ability to handle confidential information with discretion.

HERE’S WHAT YOU WILL BE DOING:

As an integral member of the Administrative Team, this position is responsible for:

  • Assisting with credit card reconciliation by verifying, categorizing, and preparing transaction reports for the Finance team. 3+ years in credit card reconciliation.
  • Preparing reports, spreadsheets, and correspondence using Microsoft Office (particularly Excel, Outlook, and Word). High Level knowledge of Excel.
  • Supporting day-to-day administrative tasks such as scheduling meetings, organizing files, maintaining calendars, and assisting with travel coordination.
  • Supporting internal meetings by preparing agendas, taking notes, and following up on action items.
  • Assisting with the creation of visual materials, such as charts, presentations, or memos.
  • Interacting with vendors, partners, and internal teams professionally and respectfully.
  • Providing occasional support to senior leadership on special projects or tasks.
  • Learning and supporting processes around handling confidential and sensitive business information.
  • Handling general office responsibilities including copying, scanning, filing, mail distribution, supply ordering, and vendor communication.
  • Contributing to ongoing administrative process improvements across departments.

HERE’S WHAT Education & Experience YOU WILL NEED:

  • High school diploma or equivalent; associate’s degree or higher is a plus.
  • 2-4 years of experience in an administrative support role.
  • Familiarity with credit card reconciliation and financial documentation.
  • Proficiency in Microsoft Office Suite, especially Outlook, Word, and Excel (including basic formulas and formatting).
  • Knowledge of company fleet management experience a plus.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Professionalism in handling sensitive or confidential information.
  • Ability to multitask, prioritize, and adapt to shifting deadlines.
